The wizard has tab pages with subscreens that you can show or hide. This section describes the data that is displayed for a service order on the tab pages and subscreens provided in the standard system. You can modify the tab pages and subscreens as well as show or hide them depending on the order types by making the appropriate settings in Customizing for Dealer Business Management (DBM Vehicle Sales and Service (VSS) under Order > User Interface Control > Wizard Layout. The wizard can display, for example, the following tab pages and data:

Wizard Header Data
The header of the wizard provides an overview of the most important data, such as:

  • The Order Header Data subscreen contains information such as:

You can access and change this data in this subscreen.

  • On the Memo Pad subscreen, you see general information about the customer and vehicle, such as:
    • General customer data
    • Credit limit data
    • Customer complaints
    • Customer notes
    • Warranties
    • Vehicle service history (see Vehicle Service History)
    • Vehicle texts

You can navigate to the customer complaints as well as to the jobs of the most recent service order.

Work Scope

On this tab, you enter the work that needs to be done on the vehicle.

  • On the Appointment subscreen, you can enter data such as:
    • When the customer will drop the vehicle off at the workshop and when they will pick it up again
    • Whether the customer needs a replacement vehicle
    • Whether the customer is waiting at the workshop during the appointment
    • Whether a service advisor needs to meet with the customer when they drop off or pick up their vehicle

If you select the checkboxes for the service advisor and replacement vehicle, the status of the tab pages Service Advisor and Mobility change to open and the service advisor's data is taken into account by Multi-Resource Planning (MRS).

  • On the Work Scope subscreen, you specify the jobs and tasks required for the appointment by selecting job IDs (see Job ID) from a job catalog or by manually entering a job description and the estimated time.

If you have copied a recall from the Related Docs tab page to the

VSS order, the system automatically creates the appropriate work scope for the recall on the Work Scope tab. The system calculates the estimated time by adding up all the target times of all the labor values in the recall. This also applies for any service contract, quotations, or deferred work that you copy to the order.

Appointment

On this tab page, you decide when the work should be scheduled.

  • The table on this tab is structured as follows:
    • The column Organizational Unit/Task contains the tasks you have created, grouped by labor value group (for example, mechanical or electronics department) and the required tools.
    • The column Status shows the status of each task.
    • The column Duration shows the amount of time required for the task (estimated time).
    • The first row of each department (labor value group) shows the department's available capacity per time interval, as provided by MRS. You can define time intervals in Customizing for SAP Multiresource Scheduling under Appointment Booking > Appointment Booking at Resource Planning Node Level > Create Time Intervals. The capacity is displayed in hours, but you can define a different time unit in Customizing for Dealer Business Management (DBM Vehicle Sales and Service (VSS) under Service > Workshop Scheduling > Appointment > Define Time Unit for Available Capacity The row with the tools shows the availability of the tools.
    • In the Assigned column, the system shows how much time you have already scheduled for each task. Non-working days are colored in.

You assign the task durations to the time intervals with available capacity either by entering the time manually or by using drag and drop.

You can schedule more time than was originally estimated for the task. If you do, the system highlights the cell in yellow and recalculates the estimated time.


The system generates one task schedule line for each task you scheduled.

The system uses the time unit from the work scope for the duration of the task (estimated time) and for the scheduled time.
  • You can use the pushbuttons to perform functions such as:
    • Propose Times

You can have the system propose when to schedule the available capacity for each task. The system tries to distribute the estimated times of the tasks across the time intervals with available capacity so that all tasks can be completed during the same time interval.

    • Change Department

By choosing this pushbutton you can assign the tasks to a different department (labor value group).

    • Update Header Dates

After you have scheduled the times, the system automatically sets the Start Work and Finish Work dates and times to match the times scheduled for the workshop. Choose this pushbutton if you want to adjust the fields Drop-Off Date/Time and Pick-Up Date/Time in the wizard header to match the Start Work and Finish Work dates and times.

After you have distributed the available capacity for all tasks, the system changes the status of the Appointment tab to completed. Once you save, the system decreases the available capacity by the amount of time that you have scheduled.

Service Advisor

On this tab page, you select a service advisor who receives the vehicle from the customer when they drop it off and a service advisor who returns the vehicle to the customer when they pick it up. You can choose an appropriate timeframe for each appointment. The system automatically adjusts the drop-off date/time and pick-up date/time in the header data of the wizard based on the availability of the service advisor. Once you have scheduled your entries, the system creates a demand and an assignment in MRS.

Mobility

On this tab page, you can select a replacement vehicle for the required time frame. When you double-click the beginning and the end of the time frame, the selected time frame changes color. You can change the start and end times by double-clicking on the corresponding area to the right or left, thereby moving the times to an earlier or later slot. If you want to shift the start to a later date, you first have to delete the whole selection and then select again with the later date.

Summary

On this tab page, you see an overview of the appointments and of the DBM VSS order. You confirm the appointments and the work to be done before you choose Schedule or Schedule & Exit.
When you schedule, the system saves the data on all the tab pages and sends it to MRS. MRS then reserves the capacity for all the demands.

  • In the transactions Create Order (/DBMDBE/ORDER01) or Order Processing (/DBMDBE/ORDER), you can create a DBM VSS order by choosing the Create Using Wizard pushbutton.
  • In the transactions Change Order (/DBMDBE/ORDER02) or Display Order (/DBMDBE/ORDER03), you can call the wizard by choosing the Wizard pushbutton.
  • In the DBM VSS order, you can call the wizard by choosing Environment > Wizard from the menu or by choosing the Wizard pushbutton. You can return to the DBM VSS order by choosing Continue to Order.
