Exchange Parts

This function enables you to use exchange parts for the exchange part process. When you add an exchange part to the order, such as a water pump, you can have the corresponding used part that the customer returns automatically added to the order. The exchange part can be a new or remanufactured part.

After it has been used, the exchange part is returned to the OEM as a used part by the customer or dealer. Parts are usually returned so that they can be remanufactured or scrapped in accordance with legal stipulations.

When parts are sold, there is frequently an extra charge that the customer gets back when they return a part after it has been used. This charge, often referred to as "core charge" or "core price", is meant to encourage rebuilding and recycling.


Note

If the customer does not return a used part, the "core charge" or "core price" is automatically added to the price of the exchange part.

Prerequisites

  • You have activated the BC Set Settings for VSS Exchange Part Process (/DBE/VSS20_BASIC_SETTING and /DBE/VSS20_S4_BASIC_SETTING) in your client.
  • You have configured Vehicle Sales and Service. For more information, see the VSS Configuration Guide.
  • In the material master, you have assigned a used part to the exchange part. For more information, see Parts Master.

Features

Part items are distinguished by their item categories. The item categories you use determine the logistical process step in the order:

You define the delivery types in Customizing for Vehicle Sales and Service > Part > Assign Movement Types and Delivery Types.
In SAP GUI, you can use the user parameter /DBE/ORD_ADD_USD_PRT to control the system behavior when you add exchange parts. You can choose from the following options:

  • Space (no value): When an exchange part is added to the order that has a used part assigned to it, a dialog box appears. You can decide whether or not you want the corresponding used part to be added to the order.
  • Y: The used part is automatically added to the order without a dialog box appearing.
  • N: The used part is not added to the order and no dialog box appears. If required, you can add the used part manually.

If the user parameter has not been set, a dialog box appears by default, prompting the user to make a decision.
For pricing, you can define a fixed price as follows:

  • You can define a fixed price for the order at header level. The system splits the fixed price among the relevant items except for the item of the used part ("core charge" or "core price").
  • You can define a fixed price for the job. The system then splits the fixed price proportionately among all items of the job except for the item of the used part ("core charge" or "core price").

Example

Pricing with fixed price:

  • Customer buys an exchange part and returns a used part within one order:
    • Price of the exchange part is EUR 150 + EUR 75.
    • Price of the used part is EUR -75.
    • Fixed price is set to EUR 100.

System calculates the prices as follows:

  • Price of the exchange part is EUR 100 + EUR 75.
  • Price of the used part is EUR -75.
  • Customer buys an exchange part without returning a used part:
    • Price of the exchange part is EUR 150 + EUR 75.
    • Fixed price is set to EUR 100.

System calculates the price as follows:

  • Price of the exchange part is EUR 100 + EUR 75.
