Create and maintain Resources


Usage

One of the basic objects for the planning is the resource. The resource is the object base for enabling the company to deliver the demand. The resource is defined by the resource ID and the resource type. The resource type is defined in the customizing.

A resource type can be:

  • Person
  • Replacement Car
  • Room
  • Tool
  • Bay

The resource type must be assigned to a resource role in the customizing. With the resource role the planning engine finds the correct resource for the demands.

In the defined work “Oil check” the demand type WORK_GEN is assigned. In the Planning procedure of the Appointment Scheduling the Demand type “WORK_GEN” is assigned to the resource role “WORKER”.

The Planning tool is looking only for resources assigned to the resource role “Worker”.

The Resource is a DBM|E specific object. The resource can be defined in DBM|E Service Resource Scheduling or transferred from the SAP HCM.


  • Transfer/Create the resources from HR.


Run transaction /DBME/WMA_SYNC_HR to create/transfer and update the resources from the SAP HCM  system.

The program offers the following functionalities:

2. Assign Resources to Hierarchy: Assign the created resources to the entered SRS -hierarchy.

3. Create Absences for resources:

To transfer the HR absences to the SRS system, the SRS absence types need to be mapped with the HR absence type using the t-code /DBME/WMA_LCM_ABSTP. If no records are found in this transaction, the SRS resource will be created without absences. However, the program will raise an error message in such cases.

SRS absence type determination

It is essential to differentiate between HR and SRS absence types. In HR, each absence type can be either full-day or time-limited. However, in the SRS, absence types must be configured as either full-day (All-Day) or time-limited. This is important as All-day and time-limited absence types are treated differently in the capacity calculation in the SRS. Therefore, mapping the HR absence type with the correct SRS absence type is crucial.

4. Update resources:

4.1 Update the resources when departing: Update the hierarchy assignment valid to date for the inactive resources (Employee status not equal to Active ’3’) based on the HR departure date.

4.2 Update the resources working model: The SRS resources' default and availability working models will be updated based on the HR working schedule (0007) and substitutions (2003) info types. This will be done given that there is a mapping between the SRS working model and the HR working schedule rule.

4.3 Update the resource role: If the resource role is not determined during the create resource step (1.2) for any reason, the resource availability can be updated from the update resource step after mapping the resource role with a corresponding position or job key.

With the button “New Entries“ a new resource can be created.

Maintain Resources


Creating a new resource the following fields must be maintained:

  • Resource ID:                              Key of the hierarchy node; there is no limitation of characters (32) and case-sensitive
  • Resource Description                This can be the name of the Worker, Room etc. The filed is character 50 and case-sensitive. The information is shown e.g. in the Workshop Planning

  • Resource Description 2 and 3                 --         
  • Resource Type                                     Defines the type of resources. The resource type can be defined in the customizing. The Resource type is assigned to possible resource roles. The resource type can be assigned in the resource planner. The resource role is considered in the planning                                                                    (Planning procedure).
  • Belongs to Hierarchy ID                      The default hierarchy ID, the resource is shown. This depends on the hierarchy Id assigned to the SAP User. In the SAP UI5 Application only resource for assignment shown which are on a lower level as the assigned hierarchy ID.
  • Working Model ID                               This is the standard model how to display free time in the calendar overview of the RPL and WPL

In the screen “Availability” the working model (Working hours), the availability and valid time range can be maintained

The availability can also be maintained with the SAP UI5 application “Resource Planner”.


  • Max resource consumption

Defining max resource consumption protects dealers against short-staffed. If customers schedule an appointment on their own, system will show few available dates. From dealer point of view (UI5) more available options will show up. It is a secure solution in case of absence of few workers at the same time.

  • Assignment of pictures to resources

System allows to assign photo to a resource. It helps identify person not only by written name and surname but also by assigned avatar. Only few following SAP steps need to be taken.

Table with existing resources will be shown after clicking “assign avatar”. If picture should be assigned to resource, it is necessary to select it and click on “assign picture” tile. Added photo will pop up in the right side of the screen.
