Incompletion Log
Sales representatives and service advisors offer and sell vehicles and services. To do this, they create and update sales and service orders. To ensure these tasks are as efficient as possible, the VSS solution allows these employees to:
- Quickly create business partners and vehicles.
- Create incomplete orders; employees can start working with an order even if some information is not available, and resume working with the order when they receive the missing information.
- Follow a guided process flow to avoid errors and long correction times.
- Define flexible rules and dependencies for order processing.
- The order cockpit meets most requirements with regard to order preparation. You can quickly create a business partner and a vehicle. You use the fact sheet to view information about customers. The system uses predefined events and actions to guide the service advisor through the process flow for service orders.
You use the incompletion log to define incompletion rules that specify the information that users provide during order processing. Two message types indicate this information to the user:
- Warning Message
The user can continue order processing without providing the requested information.
- Error Message
The user must provide the mandatory information before the system allows follow-up processes.

- Information the user must enter
An error message reflects this condition.
- Information the user should enter
A warning message reflects this condition.
You use the criteria technique to assign incompletion rules to VSS order process actions. The system checks the rules during order processing, before executing the action, and you can view incompletion information on the UI. Depending on the information that the user provides, the system can allow some events and prohibit others. For example, if an order has no payment terms then the system can allow a goods movement event, but not a billing event. If the system displays an error message for an event, you must provide the missing information before you can proceed. If the system displays a warning message for an event, you can use this event. You can therefore ensure data consistency and quality through the entire order process.
Prerequisites
You have defined your own incompletion rules for VSS order processing, and assigned them to VSS order actions in Customizing for Vehicle Sales and Service under Order > Order Control > Incompletion Log.
Example
Before you invoice a customer for an order, the system checks whether you provided mandatory payment terms. If the payment terms are missing, you cannot invoice the order. You can work with the order until processing, for example, the system displays a warning message if you execute the events Release Order, or Goods Movement. However, the system does not allow the event Billing until you provide the payment terms.
Before you invoice a customer for a vehicle service, a member of staff must take the vehicle for a test drive. You can implement this check for the service order process.
