VSS
Recording of Time Events
Employees can use this function to record their personnel and working time data at their respective terminals. The system transfers the data directly to CATS.
Note
You can find the customizing tables for assigning internal orders to a time event in Customizing for Vehicle Sales and Service (VSS) under ServiceĀ > Time Management > Determination of Internal Order.
Integration
To use the terminal to post time events to CATS, the system requires specific personal data from personnel administration on each employee. This application also includes the time event catalog from the Human Resources standard system. The following system events are initially defined and can be used to define your own time events types in Customizing for Vehicle Sales and Service (VSS) under Service > Time Management > Definition of Time Event Types > Define Customer-Specific Time Event Types:
- Coming
- Leaving
- Coming and Start of Work
- Start of Work
- End of Work
- Break
- Confirmation
Prerequisites
- In the HR master record, you have used transaction PA30 to maintain the infotypes 0000 (Personnel Action), 0001 (Organizational Assignment), 0002 (Name), 0050 (PIN) and 0315 (Sending Cost Center) for each employee.
- To be able to record times, employees (terminal owners) must be authorized to access terminals. You must have assigned them implicitly or explicitly as time recorders to the terminal.
Note
The explicit assignment overrides an existing implicit assignment and is particularly useful if you want to allow individual employees that you want to use as stand-in staff to log on to different terminal groups.
- In implicit assignment you have done the following in Customizing for Vehicle Sales and Service (VSS) under Service > Time Management > Definition of Terminals:
- Allowed particular employee groups to generally record times at terminals under Define Admission to Terminal on Basis of Personnel Structure.
- Assigned a terminal group to the personnel subgroup that the employee is assigned to under Define Admission to Terminal on Basis of Organizational Structure.
The combination of employees based on personnel structure and employees based on organizational structure provides the number of employees for a terminal group.
Note
- To program alternatives for implicit assignment, you can use BAdI Correction of Employee Assignment to Terminal (/DBE/BADI_TM_VT_DATA).
- In explicit assignment, you have assigned an employee to a terminal group and as a stand-in for other terminal groups directly in the HR master record by way of transaction PA30.
- In Customizing for Vehicle Sales and Service (VSS), you have made the relevant settings under Service > Time Management > Grouping Time Event Types and Cost Centers, and defined terminals and terminal groups under Definition of Terminals.
Features
Recording of Time Events
Employees can record their times by using the transaction Create Time Stamp (/DBE/TM_VT) or by choosing Vehicle Sales and Service > Time Management > Create Time Stamp from the SAP Easy Access screen. You can activate/deactivate the PIN for recording in Customizing for Vehicle Sales and Service (VSS) by choosing Service > Time Management > Definition of Terminals > Define Terminal Group.
The Create Time Stamp screen consists of the following parts:
- Screen with the following fields:
- Personnel number
- Cust Event Type
- PIN
- Procurement
- Job
- Cost Center
- Internal order
- Item number
- Status ID
- An indicator for setting a final confirmation
- VSS Order tab page
- Internal Order tab page

Recording Time Events for Stand-Ins
Stand-ins are employees that can work at different work centers and therefore post time events to different terminals. To use employees as stand-ins, assign them to different terminal groups directly in the HR master record. To do this, you must maintain the customer personnel infotypes. You can define this info type yourself. For more information about defining info types, see the VSS Customizing. In Customizing for Vehicle Sales and Service (VSS) under Service > Time Management > General Settings > General Settings for Time Recording, you enter the info type that you have created in the field Infotype expl. ass. (info. type for explicit assignment employee - terminal). Stand-ins log on to the terminal and record their times in the same way as employees that are only assigned to one terminal group.
Activities
- As an employee, you use your personnel number and, optionally, PIN code for authorization purposes when you want to record your times. You can enter the personnel number directly, or select it from the employee list.
- If you want to change the default time event type, select the appropriate time event type from the input help or enter it directly. Depending on the time event type, after selecting the event, you must specify further details, such as the order number of a released order.
- The system sets the date and time of time events (the time stamp) and validates the entered data. The system checks:
- Whether the employee is approved for the terminal
- Whether the order is released for recording
Note
You can use BAdI Check and Adjustment of VSS Order Number (/DBE/BADI_TM_ORDER_CHECK) to specify the release criteria for a VSS order and to swap the VSS order number for a different number
- The system groups two time events that follow each other in pair formation and saves the time data in CATS. The system can transfer the working times generated in this way in CATS to cost accounting, together with the account assignment attributes.
Note
You can use BAdI Event Processing (/DBE/BADI_TM_EVENT_PROC) to revise the CATS records again before saving to the database, and to implement the follow-up activities after saving to the database.
