‘Dispatch Monitor’ is a tool used for initial allocation of a demand arising out of Day-based appointments to a resource in the hierarchy whereas ‘Workshop Planner’ is a tool used for initial allocation of a demand arising out of Time-Based appointments to a resource in the hierarchy. Once initial allocations are planned, the dispatch monitor can be used to reallocate the demands between the resources for a particular date. Please see below explanation for the description of the process for the two flavours presented ‘Day Based’ and ‘Time Based’ demand allocations.
Allocation and reallocation of ‘Day-Based’ Appointments in Dispatch Monitor:
The process below depicts the use of ‘Dispatch Monitor’ for initial allocation of demand arising out of Day based planning to a resource as well as reallocation of a demand to a different resource for optimal workshop setup for a given day.
Access the ‘Dispatch Monitor’ application
Application settings mentioned below can be considered for usability.
Select the desired workshop hierarchy using the icon below highlighted (found on the top right corner)
b. Appointments scheduled can be refreshed using the icon to the left to reflect up-to-date data on the screen.
c. Select the date (day) for which the allocation needs to be planned.
d. Select the resource roles which are applicable for planning in current session.
e. Hover mouse over icon highlighted to get order details.
f. Hover mouse over the resource available time to check more availability details.
Unallocated appointments can be drag and dropped to the required technician. The colour coding (displayed in green slots) signifies resource availability. This function also ensures that the right demand is allocated to right resource.
Once allocated the availability of the resource is recalculated based on the planned duration of the demand. The message (bottom left) confirms the success or failure of allocation.
Reallocation of ‘Time-Based’ Appointments in Dispatch Monitor:
The process below depicts the use of ‘Dispatch Monitor’ for reallocation of demand to another resource arising out of Time Based planning for efficient set up of a workshop considering the total capacities.
Please note that the initial allocation for time based appointments is done using Workshop planner (not shown in process steps below)
Access the ‘Dispatch Monitor’ application
Application settings below can be considered for usability.
Select the desired workshop hierarchy using the icon below highlighted (found on the top right corner)
b. Appointment scheduled can be refreshed using the icon to the left to reflect up-to-date data on the screen.
c. Select the date (day) for which the allocation needs to be planned.
d. Select the resource roles which are applicable for planning in current session.
e. Hover mouse over icon highlighted to get order details.
f. As Time-Based appointments are already planned using Workshop planner you can find the technician already allocated for this task
Time-Based appointments which are already allocated to the resource can be reallocated e.g. technician not available due to illness or unplanned leave. Using the drag and drop function.
a. After reallocation, the availability of the resources is recalculated to reflect the current state based on the planned duration of the demand.
Reallocated appointment is also reflected in the ‘Workshop Planner’ for time based (planned) allocations.
Changing priorities
Priorities can only be changed for allocated demands
Right click on a allocation to open the context menu, select “Change priority”
From the dropdown, choose the new Priority value
Priority is updated and colour may change
The priority is now visually visible and can be considered in the Access Sequence as a Sorting criteria
