Workshop Planner

Workshop Planner is one of the parts of UI5 application.

Below are presented and explained:

General Information

The Workshop Planner application is a highly interactive tool that has been service order management, planning the resources etc.  The Workshop Planner application makes it simple to capture 100% of a workshop's potential. The workshop planner was built based on colorful layout, through which information on actual status in service workshop can be acquired without difficulty. The information is viewable in varying colors, so that foreman service workshop management can be facilitated.

Based on received SRS orders and other orders, you may perform work planning and re-planning. Apart from that, it could be possible to schedule test-drive, rental cars, equipment and several other resources. Mechanics can be planned out for the work or grouped based on their specialization (role). 

On the left side of the application user can find the list of all demands.

On the right side of the screen a table view with demands allocations is showed.

The planning of the SRS-Order can be done automatically via the OAS Application or via the Report /DBME/WMA_WP_BC. The system is doing the planning in assigning the demand type of the SRS-Order Items to the relevant Resources with the resource role. This assignment is found in the planning scenario. The scenario can be found by several parameters from the SRS-Order:

  • Company Code
  • Sales Organization of the relevant Hierarchy ID
  • Plant
  • Distribution Channel
  • Division
  • Order Type of the SRS Order
  • Hierarchy ID of the SRS Order
  • SAP Username


The combination of the Parameters and sequence of access can be defined in the Customizing of the SRS Application.

The Determination of the Planning Scenario can be done by the user (after definition in SRS Customizing).

With the planning scenario the planning procedure is found and the allocation of demands and resources takes place.

Demand assignment

Demand can be assigned using drag and drop.

User can drag the demand and drop it on selected resource.

System will display a pop-up with confirmation of the allocation, like following:

Demands list

Both allocated and not yet allocated demands can be listed.

Such setting can be configured using Filter >

It is easy to differentiate between the demands. The demands that are already allocated are marked with green line, like on the example below:

Edit allocation

Edition of allocation can be started:

  • By double click on allocation
  • By right-mouse-click on the allocation and

Copy/paste demand

Demand can be copied and pasted to another resource if needed.

Copy functionality is available after right-mouse-click on the resource.

Button “Paste” is located above the matrix with planning.

Show demand details 

Details of the demand can be showed by right-mouse-click and choosing “Show details” from the menu:

Show order details

At any time it is possible to show the order details in the application To-Do Basket.

User can do it by right-mouse-click and choosing “Show order details” from the menu:

Add to resource

Workshop planner allows the user to add additional reservations, absence etc. to the resources. It works the same as described in Resource Planner

After showing the order in workshop planner, there are visible only those needed resources to complete the chosen order.

It is possible to show all resources by selecting “All resources”.

Allocated/not allocated demand

Workshop planner includes demands list at the upper left corner of the main view. This one enables user to divide appointments into two following group:

  • Allocated

  • Not allocated

There is also option to group it according to “demand type” and “hierarchy”

The figure below shows that “Dealer Audi Zurich Spreitenbach” was chosen what’s mean grouping will be shown only for this value.

If only “demands type” need to be shown it is necessary to select it from the main view and then pick relevant values.

Grouping of demand

If an order has few activities to do, they are visible in a different place on the diagram. System assign it depending on damages/ faults and work time. It happens, that activities must be divided into two days what means that user does not know total time of work. Activating demand grouping will collect the orders in one tile and total time will be given there as well.

Grouping of demands is divided into two groups:

  • For group resource (by role)- bays, driver, replacement car, etc.
  • For single resource (by type)- room, person, tow truck, etc.

Picture above presents the order which has been scheduled for two days, but total time in hours (per day) is not known for user.

In this case, worker grouping was activated, what means that every assigned work for relevant car will be visible as a total duration- given in hours.

With rescheduling/ manual

Workshop planner allows to reschedule an appointment by using one of the planning mode. There are two options:

  • Manual

  • With rescheduling

The first one allows user to reschedule the appointment manually what means that dragged activity will be assigned in indicated hour/ date.

Option “with rescheduling” will  manage all activities from one order to proper place- with available resources. System will find the most suitable time by starting the planning procedure, as per normal planning.
