Task Management

This function enables you to group order items in the VSS order into tasks. This allows you, for example, to clearly structure all order items in a task that are assigned to a particular vehicle activity. Tasks represent an internal view of the order, and jobs an external one. You can group items in jobs and as well in tasks. In other words, a task collects all the work that has to be performed by a specific department, for example, by the electrical department or the body work department. In the task view, you can group all items in the task assigned to a specific department. They are also assigned to a job that can be displayed as the external view.

Integration

Tasks represent the internal view of the order. They are used to group the items internally in way that varies to the external view (job). Tasks can be related to jobs, but they need not.

Features

You can access the Task Manager from the Task tab in the VSS order. For each task, you assign a separate number (external number assignment) or the system assigns the next available number (internal number assignment). You can also assign a reference job, but all items of the task have to be assigned to that job. If there is any item that is assigned to another job, the reference is no longer unique and is deleted.


You can specify whether and how the system prints a task.
In the standard system, you can use the following functions for tasks:

  • Delete task

The system deletes the entire task, but the items are still in the order.

  • Create new task

Example

Repair of accident damage:

A customer brings a damaged vehicle to the workshop and requests that the damage be repaired. Since an inspection is also due, this should be performed at the same time.

The service advisor enters two jobs: Repair accident damage and Inspection.

The customer wants to see these two jobs in the form of items on the bill.

The workshop dealing with this request is very large and has several departments: There is a department for bodywork repair, one for electrical maintenance, and one for paintwork. The department for bodywork repair also deals with general servicing and repair work.

In this case, entries on job level would not be helpful, since the work to be performed could not be assigned correctly and precisely; you therefore use the Task Manager.


Task 1: Electrical maintenance

  • All items belonging to this department are collected here, irrespective of whether they are part of the repair-job or the inspection job.

Task 2: Bodywork repair

  • All items belonging to this department are collected here, irrespective of whether they are part of the repair-job or the inspection job.
